How to contact us about privacy
For any question or request about your information, email hello@fieldandfilestudio.co.uk or call 07825 585052.
How you share information with us
This website does not have an online enquiry form. You get in touch by email or telephone, so we only receive the information you choose to give us — when you email or call, and in any later correspondence if we start working together.
Information we may hold
- Enquiry details you choose to send — such as your name, email address, any phone number you use, and what you need help with.
- Correspondence — emails, calls and messages exchanged with you.
- Client and supplier records — the information needed to carry out agreed work, including proposals and invoices where relevant.
- Technical information — standard website server logs kept by the hosting provider to keep the site secure and running.
How information is collected
- directly from you, when you email or call us or communicate during agreed work;
- in the ordinary course of carrying out work you have asked for;
- automatically at a basic technical level by the hosting provider, to keep the site secure.
Why your information is used
- to respond to your enquiry and discuss whether and how we can help;
- to carry out agreed work and communicate with you about it;
- to keep accurate business, accounting and tax records;
- to keep the website secure and working properly.
Lawful bases
Under UK data protection law, personal information is used on these bases:
- Legitimate interests — to respond to and manage enquiries and to run the business responsibly, in a way you would reasonably expect.
- Contract — where information is needed to agree and carry out work for you.
- Legal obligation — where the law requires records to be kept, for example for tax and accounting.
Who your information may be shared with
Information is not sold, and it is not shared for marketing. A small number of trusted service providers may handle information on our behalf to run the business — for example the website host and the email service used to receive and reply to your messages. Information may also be disclosed where the law requires it.
Processing outside the UK
Some service providers may process information outside the UK. Where that happens, the aim is to use providers that offer appropriate protection recognised under UK data protection law.
How long information is kept
Personal information is kept only for as long as it is reasonably needed for the purpose it was collected for, including any legal, accounting or record-keeping obligations. When it is no longer needed, it is deleted or securely disposed of.
How information is kept secure
Reasonable and appropriate measures are used to protect personal information. No website or online service can be described as completely secure, so this notice does not claim that; the aim is sensible, proportionate protection for a small business.
Your rights
Under UK data protection law you have rights over your personal information, including to:
- be informed about how it is used (this notice);
- ask for a copy of the information held about you;
- ask for inaccurate information to be corrected;
- ask for information to be deleted in certain circumstances;
- object to or ask to restrict certain uses;
- ask for portability of certain information;
- withdraw consent at any time, where use is based on consent.
There is no automated decision-making or profiling that produces legal or similarly significant effects. To make any of these requests, email hello@fieldandfilestudio.co.uk.
Complaints and the ICO
If you have a concern, please contact us first at hello@fieldandfilestudio.co.uk so it can be put right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK regulator: Information Commissioner’s Office, Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF — ico.org.uk, helpline 0303 123 1113.
